Position Description

The Food Bank For New York City works to end hunger and increase access to affordable, nutritious food for low-income New Yorkers through a range of programs and services that focus on nutrition, education and financial empowerment.

The organization procures and distributes food to approximately 1,000 emergency and community food programs throughout the five boroughs; provides food safety, networking and capacity-building workshops; manages nutrition education programs for schools, after school programs and emergency food programs; operates food stamp outreach and education programs; operates a soup kitchen, food pantry, senior programs; and coordinates the largest Earned Income Tax Credit (EITC) program in the country; and conducts research and develops policy to inform community and government efforts to end hunger throughout the five boroughs.

Location: Lower Manhattan Office - near Wall Street

Primary Purpose of Job:
To provide professional administrative support for the Vice President of Marketing and Business Partnerships and Vice President of Fund Development to support the strategic goals of  the Marketing, Business Partnerships and Fund Development Divisions.
 
Principle Duties and Responsibilities:
Administration
  • Provide support to the Vice Presidents, maintain their calendars, schedule appointments, answer phones and keep accurate records of internal and external communications;
  • Perform secretarial duties for the Vice Presidents and their respective departments, including but not limited to: preparing correspondence, reports, filing, typing, taking minutes and maintaining a high level of confidentiality;
  • Coordinate monthly reports and board slides presentations for both divisions;
  • Track, manage and coordinate department calendars, staff leave requests and timesheets; liaise with Payroll & HR;
  • Process invoices; generate and process Purchase Orders and Check Requests accurately; liaise with Acct’ng dept.;
  • Organize and maintain all materials (publications, exhibits, etc) and ensure that paper and computer files are archived in consistent ways, both on-site, off-site and on shared computer drives;
  • Assist in completion of other department projects and perform other duties as assigned;
 Fund Development
  • Support team in maintaining major donor moves, manage calendar, projections and tickler system;
  • Coordinate all aspects of mailings to major donors and marketing partners, including requesting data, ensuring data quality, merging data, and ensuring timely mailing;
  • Coordinate teams of volunteers and interns, as needed, to execute the mailings;
  • Assist in writing personalized thank-you & other notes to donors; follow up letters to event guests and non-attendees;
  • Conduct donor research under the supervision of senior staff;
  • Perform donor data queries,  produce  revenue and other reports;
  • Assist in development of presentation materials for donor meetings and appeals;
  • Provide support to coordinate cultivation events including: invitations, briefing of hosts and staff, guest research;
  • Support gift processing team during heavy volume periods or as needed;
 Marketing and Business Partnerships
  • Monitor news outlets for articles related to the Food bank;
  • Assist in research related to events, corporate partners, and other non profits;
  • Coordinate and prepare press packets.
 Qualifications:
  • BA or BS degree and prior experience supporting Fundraising/ Marketing efforts ;
  • Solid work experience with stable work history;
  • Outstanding planning, written and oral communication, time management and organizational skills;
  • Must be resourceful and anticipatory; able to work cooperatively with other departments;
  • Strong computer skills: MS Office XP – including Work, Excel, PowerPoint; Outlook and Internet;
  • Raisers Edge or equivalent CRM experience;
  • Ability to take instructions; accurate and detailed notes;
  • Ability to prioritize ongoing vs. immediate needs. Ability to work well under pressure and with deadlines.
