Job Description
SUMMARY

The 2nd Deputy supervises office staff in administrative matters; solves problems and analyzes needs related to IT system; trains employees on proper office procedures; fills in for First Deputy and Register of Wills and Clerk of Orphans' Court when needed; maintains schedules and attendance records; interact with other County Departments, general public and attorneys; administer office supply system; has input into budget creation, acts as Outreach Manager and does daily bookkeeping for the department.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • The 2nd Deputy supervises office staff in administrative matters for Register of Wills and Clerk of Orphans' Court;
  • Daily bookkeeping for department;
  • Solves problems and analyzes needs related to IT system;
  • Trains employees on proper office procedures;
  • Fills in for First Deputy and Register of Wills and Clerk of Orphans' Court when needed;
  • Maintains schedules and attendance records;
  • Interact with other County Departments, general public and attorneys;
  • Administer office supply system;
  • Has input into budget creation;
  • Analyze the extent of public understanding of the office's programs and determine the need for further public information and educational activities;
  • Identify appropriate events, programs and other opportunities;
  • Ensure appropriate marketing and supplies for events;
  • Serve as writer of content for newsletters, brochures, social media posts;
  • Take photos;
  • Manage social media and website;
  • Analyze and report social media statistics;
  • Manage PR budget and promotional items inventory;
  • Assist with office newsletter.
QUALIFICATION REQUIREMENTS

* High School Diploma (College Degree Preferred);
* Well organized and detail oriented;
* Excellent verbal and written communication skills;
* Aptitude with numbers preferred;
* Must retain a high-degree of confidentiality of office information;
* Must be able to interact with various levels of management in a professional manner;
* Excellent interpersonal skills;
* Complete knowledge of office computer system as it relates to Register of Wills and Clerk of Orphans' Court office operation;
* Knowledge of rules of Decedents Estates and Fiduciaries, Orphans' Court and Marriage Licenses;
* Teaching skills;
* Ability to work with employees, public, attorneys, judges staff, other court and county offices;
* Knowledge of County policies and procedures;
* Must be able to operate the following equipment:
o Computer/Printer;
o Telephone;
o Copier;
o Fax;
o Microfilm Reader/Printer.
