Role Description

Provide administrative support to Chief Operations Officer, US and VP Commercial Operations (position currently open) and their direct reports. The applicant should have strong organizational skills, an aptitude for technology, the ability to prioritize while working independently, and a positive attitude.

General administrative duties:

  • Calendar management - Candidate must possess excellent prioritization skills for calendar scheduling and maneuvering and proactively manage calendar conflicts

  • Travel arrangements - schedule transportation (flights, hotel, car etc.) and prepare detailed itinerary. Maintain receipts and records.

  • Expenses - proactively manage and process expenses through Concur (for travel and other incidental expenses)

  • Facilitate meeting logistics including major on-site and offsite meetings (e.g., reserving conference rooms, hotel lodging and meeting space,catering, coordinating attendees and sending invites)

  • Process Purchase Orders, Invoices, and Statements of Work

  • Act as point person for coordinating building access for visitors including Zoetis field colleagues, guests and meeting attendees

  • Support internal and external communication, including managing Distribution Lists

  • Assist with preparation and development of reports, compile presentation inputs, and proof presentations for accuracy (as needed)

  • Prepare meeting agendas and minutes (as needed)

  • Establish and maintain office supplies and systems (i.e., ordering supplies, Ariba Administration)

  • Special project support

Qualifications

Candidate should have:

  • Associate degree (preferred) or equivalent and

  • 5+ years experience as an administrative assistant or coordinator

  • Candidate must possess excellent computer skills and a high level of proficiency with Power Point, Excel, Word, Concur, Outlook, SharePoint, and Zoetis software such as GCE, Ariba/ eBuy, and Computron.
