Monmouth Crossing has an employment opportunity available for a Staffing Coordinator.

Responsibilities
    Schedules meetings and appointments for management as indicated while avoiding scheduling conflicts and coordinating the schedules of all attendees. Communicates staff meetings and promotes attendance.
  • Maintains organized filing system so that others can locate needed documents. Keeps files up to date by filing all correspondence and documents in a timely manner.
  • Accurately processes all computer data (enters and retrieves data, compiles appropriate data for reports). Completes reports and forms timely.
  • Takes accurate minutes at meetings and transcribes in appropriate format.
  • Maintains department records as required such as department service statistics, resident charges, resident weights and pendant checks, vendor information and pricing, in-services, etc. Prepares and maintains clear and accurate records.
  • Prepares and submits employee time records, ensuring on-time submission to Payroll. Completes payroll problem logs when necessary.
  • Tracks accruals and all time off, including PTO requests, for all staff. Ensures proper coding in API.
  • Maintains accurate records of annual budget amount and expenditures for each account in assigned departments.
  • Correctly prepares, codes and submits invoices and check requests to Accounts Payable for payment. Reviews invoices and adjusts discrepancies.
  • Prepares monthly reports detailing spending, budget amounts and variances.
  • Processes purchase orders. Accurately completes purchase orders, obtains required signatures and coordinates orders and delivery with materials management department.
  • Verifies deliveries against invoices and packing slips.
  • Processes billing for completed work orders on a monthly basis, ensuring accurate billing to the appropriate resident or department.
  • Maintains RSA assignment book.
  • Maintains inventory of office supplies by remaining aware of the level of supplies as they are depleted and replenishes as appropriate.
  • Orders necessary lab equipment from CentraState Medical Center.
  • Coordinates sending equipment to Biomed for annual checks and repairs.
  • Coordinates all annual department hard-copy in-services for the facility (Companion Radio).
  • Receives staff call outs and secures substitute staffing as needed. Communicates with DON 24/7 regarding schedule issues and changes to ensure proper staffing levels.
  • Organizes uniform allowance and coordinates scheduling of staff store visit.
  • Orders DME supplies and stores in storage closet.
  • Maintains par levels of equipment and supplies for nursing.
  • Acts as liaison between employees and HR Partner when HR Partner is not on site.
  • Assists in on-boarding and orienting all new nursing department employees to include email access and navigation of CentraNet.
  • Sets up and maintains resident charts. Disassembles medical records upon discharge or expiration to prepare charts for storage. Calls EDM for chart pick up.
  • Calls for supplies for medical waste and pick up with Stericycle.
  • Coordinates and executes the annual resident flu clinic.
  • Acts as technical resource for staff for the computer and troubleshoots when necessary.
Qualifications
  • High School Diploma Or Equivalent Preferred
  • 1 Year Clerical Experience
  • Ability to use standard office equipment, including multifunction copier and multi-line phones
  • Must be proficient with Microsoft Outlook, Excel, and Word
  • Strong professional, organizational, and interpersonal skills to effectively relate with all members of the healthcare team required
  • Must be adaptable to change and able to multitask on a routine basis
