Job Description
Overview:

The Project Coordinator provides day-to-day operational support to Small-Medium Business [SMB] Program staff. The primary responsibilities of this role are: verify account eligibility, manage the post-inspection and project close-out process, facilitate QA/QC inspections, and carry out all invoicing activities for the program. This role supports program staff, contractors, field personnel and clients to develop energy efficiency projects targeting Small-Medium Business customers in the greater New York City metropolitan area.

Responsibilities

Responsibilities include, but are not limited to:

  • Account Eligibility: To provide timely verification of account eligibility to contractors and sub-contractor(s).
  • QA/QC: To Conduct post-inspection curing, communicate with inspectors and contractors about outstanding issues, shepherd project close-out to resolve all issues in a timely manner.
  • Inspecting, analyzing, and auditing building envelope, HVAC systems, heating systems, electrical, plumbing and all other aspects of building characteristics that may be considered for home improvement, with an emphasis on energy efficiency.
  • Facilitate third-party QA/QC project selection process, communicate with third-party evaluation party to resolve any ensuing issues.
  • Manage the in-unit post-inspection process.
  • Monitor key performance metrics related to the QA/QC process, identify and implement opportunities for program policy and process improvements.
  • Project Close-out and Invoicing: To Review, reconcile and collect required project back-up documentation.
  • Work with accounting personnel to verify incoming payments and timely issuance of payment vouchers. Maintain invoicing records.
  • Work with data analyst to complete bi-monthly billing activities.

General Program Support:

  • Onboard contractors - conduct outreach to new contractors, follow-up and collect all required application documentation; compile and manage approved participating contractor lists.
  • Support project intake, and help contractors use the SMB auditing tool.
  • Track and manage projects using Willdan's proprietary data management software.
  • Monitor program tasks, reporting and follow-up on progress and achievements.
  • Communicate directly with internal staff, contractors and customers.
  • Attend industry events as appropriate; network with stakeholders.
  • Provide general administrative support, as necessary.
  • Engagement in any and all areas critical to program success.

Qualifications

  • Bachelor's Degree in related field.
  • 1-2 years experience in energy efficiency, multifamily housing or project management.
  • Ability to communicate effectively with our clients and work collaboratively with our engineering staff, program managers and sales team.
  • Strong organizational skills with ability to manage projects from inception to close while maintaining strong customer service practices, the ability to multi-task, and attention to detail.
  • Knowledge of (or demonstrated interest and capacity to learn) energy efficient lighting technology and lighting controls, such as LED, occupancy sensors, daylighting, etc.
  • Knowledge of (or demonstrated interest and capacity to learn) HVAC equipment and mechanical systems, including pumps, motors, variable speed drives, chillers, cooling towers, air handlers, chilled and hot water loops, and boilers.
  • Proficiency with software tools such as: spreadsheets, project management, word processing, presentation and Client Retention Management (CRM) programs and platforms.
