Under the direction of the Residency Program Director, the Residency Program Coordinator is responsible for overall management of the Pediatrics Residency Program, including recruitment, program budget compliance, medical educational activities, residency accreditation, and resident credentialing and certification. Supports Program Director in updating program information through the ACGME online site, WebADS, and communicating resident data to the American Board of Pediatrics.

Responsibilities

  • Administrative Responsibilities
  • Supervises day to day operations of the program.
  • Serves as administrator for various education and planning committees.
  • Prepares annual program agreements with participating institutions.
  • Serves as program liaison to other residency programs within the School of Medicine and other national Pediatrics Residency Programs.
  • Manages residency education space requirements; secures equipment and other resources; recommends renovations as needed.
  • Directs Grand Rounds for the Department of Pediatrics, including working with the Audio-Visual Department to ensure remote access to all lectures.
  • Evaluation/Credentialing
  • Controls the distribution, tracking, completion and filing of resident, faculty, rotation and program evaluations.
  • Maintains documentation for American Board of Pediatrics eligibility including but not limited to verification of procedures performed, adherence to resident duty hours and completion of required clinical/academic experiences.
  • Maintains updated documentation of required faculty data including current NJ medical license, ABP certification, scholarly activity and CVs.
  • Resident Recruitment
  • Partners with the program director to establish recruitment policies.
  • Manages the Electronic Residency Application Service (ERAS) process.
  • Works with the program director in screening and inviting candidates to interview.
  • Updates recruitment brochures, websites and materials provided to applicants.
  • Manages the interview process, ranking and post-match activities.
  • Prepares with the Program Director the National Resident Matching Program (NRMP) list.
  • Organizes information for and attends recruitment fairs.
  • Program Accreditation
  • Understands the ACGME institutional, core and specialty program requirements.
  • Ensures compliance with residency policies and procedures in accordance with ACGME and Hackensack Meridian Health guidelines.
  • Assures timely completion of ACGME resident and faculty surveys.
  • Attends and maintains minutes of Program Evaluation Committee meetings.
  • Attends and maintains minutes of Clinical Competency Committee meetings.
  • Supports Program Director in timely submission of semi-annual Milestones reporting.
  • Prepares department leadership, faculty and residents for site visits.
  • Information Technology
  • Uses Internet for ACGME WebADS, American Board of Pediatrics (ABP) tracking, ERAS, NRMP, ACGME surveys, GME Track/National GME census, New Innovations and other electronic reports.
  • Develops and maintains database on residents and alumni.
  • Develops informational websites for faculty and residents.
  • Human Resources
  • Manages residents' files and documentation including but not limited to: contracts, demographics database, performance evaluations, remediation requirements, payroll schedules etc.
  • Consults with program director and with legal counsel on hiring and disciplinary actions and coordinates remediation efforts.
  • Finance
  • Supervises residency payroll.
  • Ensures timely submission of required documentation for meal and book allowances, resident travel, etc.
  • Examines compliance with budget and aids in budget development.
  • Reviews and approves purchase orders within budget guidelines.
  • Medical Students
  • Coordinates student electives and rotations.
  • Ensures completion of student evaluations.
  • Advises students on residency application process.
  • Professional Development
  • Attends local, state and national GME and APPD conferences.
  • Organizes faculty development and mentoring programs.
  • Plans and administers special events including orientation, graduation and educational retreats
  • Supports residency faculty and residents in preparation and submission of scholarly projects.

Qualifications

  • Bachelors degree.
  • Minimum of 3-5 years of office administration experience, preferably in a healthcare and/or education setting.
  • Strong computer skills.
  • Understanding of financial budgets.
  • Excellent interpersonal skills.
  • Excellent written and verbal communication skills.
  • Ability to organize information.
  • Ability to handle sensitive information with absolute confidentiality.
  • Working knowledge of software applications including Microsoft Word, Excel, and PowerPoint.
  • Ability to make decisions independently and to escalate issues as needed.

Education, Knowledge, Skills and Abilities Preferred:

  • Experience working in Graduate Medical Education.
  • Knowledge of our online program for tracking resident performance, New Innovations.
