Position Summary

As a member of the Employee Relations & Legal Compliance Center of Excellence, the Compliance Specialist is responsible for ensuring the organization's employees adhere to legal standards and in-house policies. The individual will perform regular audits of business procedures, processes and activities to ensure compliance as well as monitoring operations, reporting infractions and reviewing company policies for potential risks.

Responsibilities
  • Oversee the new IPG Conflict of Interest disclosure platform ensuring the appropriate review of submitted employee disclosures (representing potential conflicts of interest)
  • Regularly conduct compliance reviews and provide optimization advice for HR policies and processes
  • Work directly with employees who have submitted disclosures to obtain sufficient information regarding the conflicts disclosed
  • Partner closely with IPG Corporate Compliance team, HR Business Partners and members of leadership to ensure the appropriate determinations are made for each disclosure
  • Monitor the current policies and processes in place and ensure that it is compliant with legal and regulatory laws
  • Regularly review and audit employee FLSA designations and work with HR and leadership to formally adjust and communicate to impacted parties
  • Reporting of Employee Relations metrics to enable the appropriate assessment of trends
  • Maintain oversight of templates (severance agreements, discipline and improvement plans, Adverse Impact Analysis spreadsheets and other HR documents) to ensure accuracy and compliance
  • Oversee and manage Worker Adjustment and Retraining Notification (WARN) Act processes to ensure compliance and appropriate stakeholders are informed
  • Provide support to ER team as necessary including running reports, drafting of Job Abandonment letters, updating the team case tracker, documentation of improvement plans and participate in formal investigations
  • Ensure each Mediabrands US location is compliant and up to date with labor law posters and signage

Required Skills & Experience
  • Bachelor's degree or equivalent experience
  • 2+ years in Compliance and/or Employment Law

  • HR Generalist background or other experience handling Employee Relations issues with positive outcomes
  • Clear logic, good at structured thinking, able to solve complex problems collaboratively and independently
  • Strong research and critical thinking skills, data and process optimization-minded
  • Proficiency in industry trends, laws, and regulations
  • Ability to research, understand, and digest knowledge of all current legislation
