Overview

Colliers Engineering & Deisgn is seeking an Event Coordinator to work out of any of our NJ offices. The Event Coordinator will be responsible for processing and securing employee training, seminars and networking registrations, memberships, and providing additional support for conferences and/or the organization, tracking, and coordination of conference exhibiting along with all stages of planning and execution of conferences and provide support for corporate event execution.


Responsibilities

  • Register employees for external training programs in accordance with company guidelines.
  • Collaborate with management and employees on the development and related training needs.
  • Collaborate with Marketing on the creation and submittal of ad requests.
  • Process and track employee and corporate memberships.
  • Handle employee Event Requests (includes networking events, organizational meetings, seminars, conferences, sponsorships, ads, etc.).
  • Assist in the development of project outline for each event including a timeline, designation of responsible parties, pre- and post-event tasks, event-day tasks and appropriate deadlines.
  • Track and ensure all deliverable and deadlines are met, following up with assigned responsible parties.
  • Assist with guest list, invitations, and R.S.V.P. for events.
  • Field event related questions and issues before, during, and after event.
  • Manage Marketing materials for trade shows, including supplies on hand, coordinating delivery, up-keep, set-up, removal, and storage.
  • Track all corporate booth components to ensure desired conference presence and coverage.
  • Assist with credit card receipts and monthly credit card statements.
  • Maintain various departmental tracking spreadsheets.
  • Assist and support Event Team with scheduling and leading the weekly (or daily when needed) event and conference update meetings.
  • Update upcoming Social Media needs for Marketing based on upcoming events.

Qualifications

  • Minimum Education requirement to perform the job: Vocational training / associate degree / diploma / certification.
  • Relevant Years of experience required to perform the role: 1 to 3 yrs. of experience.
  • Administrative Assistance experience a plus.
  • Proficient with Excel, Outlook.
  • Experience using Microsoft Teams helpful.
  • Self-starter.
  • Multi-tasking.
  • Able to work with a team as well as independently.
  • Fast-paced environment/experience prioritizing.
  • Able to navigate proficiently on the Internet.
  • Relationship Management.
  • Business Acumen.
  • Communication.
