Job Description Summary

Cushman & Wakefield is looking for a well-organized Executive Assistant / Brokerage Specialist to provide support for its Capital Markets Equity, Debt & Structured Finance senior level executives. This is a great opportunity to establish working relationships with high-level executives and brokers while contributing to the overall efficiency of our organization.

Job Description

Responsibilities

  • Schedule and organize complex activities such as meetings and travel
  • Maintain and manage lender and investor contacts for the team
  • Client Events - Planning Client Dinners and Events in NYC and the Tri-State area
  • Perform advanced word processing, graphics, spreadsheets, database, and presentations
  • Pipeline Management
  • Prepare, collect and maintain information for the preparation of confidential reports, proposals, and other materials
  • Track engagement expirations and work with fee-earner to take action on expired engagements
  • Maintain and update CRM system per guidelines with new opportunities by working with fee-earners and Client Coordinators
  • Maintain tracking of expenses related to deals, using Commissions Accounting and CRM Systems
  • Work with Client Coordinator to collect necessary documentation and deliver to Commissions Accounting
  • Communicate with operations staff, brokers and Managing Principal
  • Maintain files, such as documents provided by operations staff or reference material
  • Track broker licenses, professional memberships, and educational requirements and follow up with fee-earners on any delinquencies or upcoming actions required
  • Assist with onboarding for new hires including preparing space and equipment
  • Provide technical support including new hire computer set up, meeting presentations, and equipment trouble shooting
  • Ensure company policies are followed
  • Work independently and/or within a team on special non-recurring and ongoing projects
  • Act as a project manager for special projects, at the request of the executives and/or their direct reports, which may include planning and coordinating multiple presentations and disseminating information
  • Prepare EDSF deck presentation (National & NYC Team Brochures, Production of Generic/Market Related Presentation Materials for team and business lines)
  • Act as liaison with other departments and outside agencies; including executive-level staff
  • Assist with the development of forecasts and operations plan as needed
  • Tracking Business Development Expense / Processing Charitable Sponsorships

Requirements

  • Business Bachelor's degree in Business Administration or related area required
  • Demonstrated poise, tact, and diplomacy
  • Strong Microsoft Office Suite and Adobe Creative Suite (Adobe InDesign) skills
  • Excellent verbal and written communication skills
  • Independent judgment is required to plan, prioritize, and organize a diverse workload
  • Excellent organization skills
  • Ability to set priorities, meet deadlines, and multitask
  • Ability to handle sensitive information with discretion
  • Attention to detail

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate's experience and qualifications.


The company will not pay less than minimum wage for this role.


The compensation for the position is: $36.78 - $43.27
