The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The Office of Admission and Financial Aid is seeking an Associate Director of Admissions Operations, who will be responsible for the management of the admissions process and operations in alignment with the strategic goals of the Journalism School. This is an excellent opportunity for a candidate who would like to help the Journalism School analyze and understand the patterns and trends in the admission and financial aid process.

Reporting to the Director of Admissions, this role will be the technical lead for all things Customer Relationship Management (CRM). The incumbent is responsible for the technical configuration, maintenance, and oversight of the (CRM) application and environment, currently Technolutions Slate. This position will lead the effort to establish/refine policies, processes, and procedures related to maintenance, update, upgrade, integration, and development of the CRM application and environment. As well as in charge of coordinating activities that enhance customer service and satisfaction.

The incumbent will be responsible for managing and improving existing systems to collect and analyze data to be used to inform and direct recruiting, marketing, admission, scholarship awarding, and enrollment activities. Subject to business needs, we may support flexible and hybrid work arrangements. Options will be discussed during the interview process.

Responsibilities

Serve as the school's primary administrator of Slate (captain) responsible for maintaining and developing the school's instance of Slate.

Engage in continuous learning, so as to serve as the school's Slate expert, keeping the database functionality and related processes up-to-date.

Use knowledge of Slate to increase office efficiency and productivity.

Manage the application processing lifecycle from application creation to enrollment, to support the attainment of key admission objectives.

Manage Slate database/application processing systems, scanning, data input and information tracking for use in admission and financial aid offices.

Monitor applicant status and ensure that all required application documentation is received within established deadlines.

Organize and coordinate writing tests, interview assignments and international transcript/test evaluations. Upload TOEFL/IELTS test scores.

Perform thorough review of applications for admissions, including for quality and potential fraud, using exceptional professional judgment and knowledge of key indicators of success.

Ensure the integrity and accuracy of all data related to student admissions, scholarship, financial aid and enrollment within all relevant application management systems.

Identify, extract and organize data from Slate and other sources with the goal of creating actionable information.

Build queries, prepare reports and disseminate statistics on admissions and financial aid throughout the admission cycle, both ad-hoc and on a weekly basis.

Manage all technical workflows in and updates to Slate scholarship database.

Manage data feeds between Slate and SIS.

Serve as liaison with third party vendors which integrate with Slate e.g. Parchment, ProctorU, ETS.

Maintain accurate data on applicant status, new applications, withdrawals, scholarships, and yield.

Provide analysis of data and statistics for preparation of admissions reports and projections.

Assist and train staff using Slate in other departments and respond to requests for data as needed.

Collect admissions data and prepare reports related to class profile, student diversity, and historical trends to enrich the selection process and present to department, faculty and/or school leadership.

Prepare institutional research of the journalism market about trends in industry and among schools. Determine new information and programming that may be useful in recruiting.

Provide analysis of recruiting and marketing results to determine effectiveness and inform strategic recruitment and communications plans.

Assist with creation and management of events and communications within Slate.

Oversee and ensure accurate and timely issuance of all admission and financial aid letters.

Organize application review; establish faculty review systems and ensure timely review.

Document processes in and related to Slate.

Participate in recruitment activities as required.

Ensure regulatory, policy, and procedural compliance in alignment to federal , state, School and University policies and procedures.

Supervise support staff, temporary employees particularly around admissions operations and analytics and work-study students.

Perform other projects and related duties.

Minimum Qualifications

Education: Bachelor's Degree Required.

Experience: Four to six years of related experience.

Skills:

  • Ability to establish and maintain effective working relationships with supervisors, staff, faculty and vendors.

  • Relevant and demonstrable management experience playing a lead and single resourced role to support CRM, showing a particularly clear understanding of Technolutions Slate, supporting faculty and staff

  • Hands on experience supporting and/or implementing Integration(s) between CRMs and other systems

  • Significant SQL Server query, HTML, CSS and web programming experience

  • Experience managing system or software changes, including researching, testing, evaluating, and communicating with users about new or increased tools and functionality.

  • Excellent troubleshooting techniques related to software, including the ability to demonstrate effective and timely problem-solving skills.

  • Business intelligence and/or analytics experience; Using data to inform or drive decision making; Data governance or stewardship experience to ensuring data accuracy

  • Experience in analytics, levering social media, UTM, and SEO/SEM.

  • Excellent organizational skills, a high degree of energy and initiative, adaptability, flexibility, ability to work with little direct supervision.

  • Excellent interpersonal, communication, and collaboration skills. Strongly collegial, professional, positive, and effective in the communication

  • Strong background in and familiarity with databases; Advanced Excel and Access skills; Ability to learn and manage new technologies and software
  • Willingness to work some evening and weekend hours.
